Free professional gray individual training record template

This professional gray individual training record template gives employers a compact history of one employee's workplace learning. The table records training subjects beside hours, results and notes.

Employee Information, Training details and Site & role details create a clear review path. The gray border and black header row suit construction, warehouse and safety documentation.

Import approved employee data through Google Sheets or select another connected source from Certifier's integrations. After review, connect each issued record to the verifiable credentials workflow so its current status is easier to check.

The individual training record can accompany a related forklift or workplace training certificate. Keep the record separate from the certificate because it preserves the detailed training history behind the credential.

What is an individual training record?

An individual training record is an employer-controlled history of learning completed by one worker. It shows the subject, training category and number of hours recorded for each activity.

The record can support a broader training certificate workflow by preserving course-level evidence behind a related credential. A Completed result does not replace any practical evaluation or employer authorization required for the role.

The supplied workplace document is designed for standard A4 dimensions (21 x 29.7 cm) and also works in US Letter format (8.5 x 11 in). Portrait and landscape layouts are available. All you need is a free Certifier account to customize, edit and issue the document.

What does this professional gray individual training record include?

A useful individual training record should reflect the employer's approved learning history. The following elements are visible in the supplied professional gray design:

Static layout elements

  • Provider header and record controls: Fixed positions display the construction provider logo and Safety & Workforce Training contact details. Training Record ID and Date Issued appear below the title.
  • Three-part employee context: Employee Information labels cover Employee Name, Employee ID, Job Title / Position, Department, Supervisor and Training Year. Separate sections organize Training details and Site & role details.
  • Training record table: The structured history uses Date, Category, Training Subject, HRS, Result and Notes columns. Visible examples include forklift operation, fall protection, site safety and heat illness prevention.
  • Sign-off and verification footer: Reserved lines hold Employee Signature and Supervisor / Trainer Signature with dates and printed names. Credential ID, Training Record ID, Provider and Verify At URL complete the footer.

Dynamic fields (automatically populated after mapping in Certifier)

  • Employee and employment identity: Employee Name and Employee ID identify the record holder. Job Title / Position, Department, Supervisor and Training Year place each activity in its employment context.
  • Training, site and role details: Training Title / Subject and Trainer / Presenter identify the learning event. Venue / Workplace, Worksite / Location, Training Coordinator and Training Period define where and when it applied.
  • Training history rows: Each row stores the Date, Category and Training Subject. HRS records duration, Result shows the approved outcome, and Notes can state evidence such as Cert. valid 3 yrs.
  • Signatures and verification data: Employee and Supervisor / Trainer signatures document review. Date Issued, Credential ID, Training Record ID, Provider and Verify At URL connect the document to its issued record.

These changing fields are visible in the supplied individual training record and are not guaranteed to be pre-mapped. Configure them in Certifier’s design builder and use only training history verified by the employer and responsible trainer.

How to issue the professional gray individual training record

Use this four-step controlled workflow:

  1. Customize the design and your branding — Open the gray record in the online editor. Choose A4 or US Letter and select portrait or landscape. Add the provider logo, then adjust the employee sections and Training Record rows to fit the workplace program.
  2. Bundle it with a matching companion document — Pair the record with the certificate it supports from the certificate template gallery. Check that the employee, Training Title / Subject and Training Period match across both designs.
  3. Connect your tools — Sync employee rosters and learning history from the employer's approved HR or safety-training system. Map Employee ID, HRS, Result and Notes instead of re-entering each record for every worker.
  4. Issue, deliver, and verify — Review the Training Record rows and obtain the required signatures. Issue the approved credential set and deliver it to the employee. Open the Verify At URL before publication.

Edit and issue the professional gray training record online

Use Certifier to update the provider identity and map employee-specific history. The online record stays connected to its credential page and companion certificate. Reviewers can inspect the latest issued version.

Receive the individual training record in Microsoft Word

Enter an email address in the catalog popup to receive the available Word package. The offline files support local editing in both page sizes and orientations. They do not create a verified credential by themselves.

Export an issued individual training record as PDF

Recipients may export an issued record from their credential page. Issuers may export PDFs within plan limits. The PDF should retain the HRS, Result, Notes and verification identifiers.

Who issues individual training records?

Employers and workplace safety managers

Employers retain the approved learning history for workers whose roles require documented training. Safety managers check the subjects and results. The record should follow the employer's retention policy.

Qualified forklift trainers and evaluators

Trainers document forklift instruction and related safety activity. Evaluators provide separate practical evidence where required. Their approval should not be inferred from attendance alone.

HR administrators and training coordinators

HR teams may prepare employee batches and maintain identity fields. Training coordinators collect dates and signatures. The authorized employer controls final issuance.
